Monitoring, Evaluation and Learning System (MEL)

PLNTmatter Monitoring, Evaluation, and Learning (MEL) System

📅 Version: Draft 1.0

🕊️ Purpose:

To define PLNTmatter’s system for tracking, assessing, and learning from our activities, outputs, and outcomes as outlined in our Theory of Change. This MEL system ensures evidence-based decision-making, adaptive management, and accountability to stakeholders.

📊 1. Objectives of the MEL System

  • Measure progress against strategic objectives and impact goals

  • Inform decision-making and continuous improvement

  • Enhance accountability to partners, investors, and communities

  • Support learning and innovation

  • Enable transparent reporting and communication of outcomes

🌐 2. MEL Framework Components

2.1 Indicators & Metrics

Indicators are defined across four levels:

  • Input Indicators (e.g., funding, equipment deployed, partnerships formed)

  • Activity Indicators (e.g., # of training sessions, pilots launched)

  • Output Indicators (e.g., volume of feedstock processed, # of farms onboarded)

  • Outcome & Impact Indicators (e.g., biodiversity indices, carbon footprint reductions, farmer income increases)

Indicators are aligned with:

  • ISEAL Code of Good Practice

  • Regenerative agriculture and circular economy frameworks

  • Partner and investor reporting requirements

2.2 Data Collection Tools

  • Digital dashboards (internal operations tracking)

  • Field-level surveys and soil health assessments

  • Satellite or remote monitoring for biodiversity and land use

  • LCA reports and processing impact audits

  • Partner-provided operational and environmental data

2.3 Frequency & Responsibility

  • Monthly: Operations, CX, and supply teams update activity and output metrics

  • Quarterly: MEL team compiles progress reports for leadership review

  • Annually: Comprehensive evaluation and public reporting

Ownership: Head of Impact & Regeneration (with cross-functional support)

📊 3. Learning & Adaptation

  • Internal learning sessions held quarterly to review key findings

  • Annual strategy sessions to update the Theory of Change based on MEL data

  • Stakeholder learning loops: insights shared with farmers, partners, and NGOs

  • Lessons integrated into future program and product development

📰 4. Transparency & Communication

  • Quarterly updates shared internally and with core partners

  • Annual Impact Report publicly shared on website and stakeholder briefings

  • Critical findings elevated in executive and board reviews
