Chain of Custody Policy
Required Signatory: All Tier 4 and Tier 3 Suppliers
1. Purpose
This Chain of Custody (CoC) Policy outlines the requirements for maintaining an Identity Preserved model for all raw materials and feedstocks used in PLNTmatter products. Under this model, the origin, attributes, and transformation of materials must remain traceable and separated at every stage of the supply chain.
2. Scope
This policy applies to:

All raw materials and intermediate goods supplied to PLNTmatter

Tier 4 (farm and raw material origin) and Tier 3 (raw material processing) suppliers and subcontractors

Feedstocks including but not limited to bamboo, monocot crops, and regenerative agricultural waste
3. Identity Preserved Chain of Custody Requirements
3.1 Material Segregation

Materials from different origins or certified vs. non-certified batches must never be mixed

Physical segregation must be enforced during transport, storage, processing, and shipping
3.2 Documentation

Each unit (lot, batch, container) must be labeled and documented with:

Source location and farm ID (where applicable)

Harvest/production date

Material specification and volume
-
Associated certification or audit reference (if applicable)

3.3 Traceability

Suppliers must maintain traceability logs that enable full backward and forward tracking of each shipment

Records must be stored for a minimum of five (5) years and made available to PLNTmatter upon request
3.4 Verification

Suppliers agree to random and scheduled audits by PLNTmatter or its authorized representatives

Certification and transport documentation may be cross-referenced with digital tracking platforms (e.g., TextileGenesis or equivalent)
3.5 Data Integrity

All chain of custody documentation must be maintained in tamper-proof digital or physical systems

Any discrepancies or incidents of lost integrity must be reported within 48 hours to PLNTmatter
4. Compliance

This policy is a mandatory requirement for all supplier agreements

Violations may result in corrective action plans, suspension of sourcing, or termination of the partnership

By signing below, the supplier agrees to uphold the requirements of PLNTmatter's Identity Preserved Chain of Custody Policy and to support traceability and transparency throughout the product lifecycle.
